Terms of Service

Intaxion ("Service") is a bilingual tax intake and document workflow platform designed for small tax preparer offices ("Preparer"). The Service facilitates structured data collection, document upload, and workflow management between preparers and their clients ("Clients").

You must be at least 18 years old and a licensed tax preparer or authorized staff member of a licensed tax preparer to use this Service.

To use the Service, you create a workspace account tied to your tax office. Each workspace is a separate, isolated environment with separate client data and team members.

You are responsible for maintaining the confidentiality of your login credentials. You agree not to share your workspace URL, login credentials, or access tokens with unauthorized parties.

Access is limited to you and staff members you explicitly invite. You may assign roles (owner, admin, staff, viewer) to control what team members can see and do.

Your clients' data is yours. You own all information submitted through Intaxion — intake answers, uploaded documents, notes, and communications.

Intaxion acts as a data processor on your behalf. We store, organize, and help you manage your clients' data according to your instructions, subject to IRS retention rules and your workspace settings.

You are responsible for ensuring you have proper authorization from your clients to collect and store their information in Intaxion.

You agree to use Intaxion only for legitimate tax preparation purposes. You will not:

• Use the Service to collect information fraudulently or without proper authorization

• Attempt to access other workspaces or users' data

• Use bots, scrapers, or automated tools to extract data

• Send spam, malware, or deliberately disruptive content

• Violate any law or regulation, including data protection laws

Intaxion offers a single plan at $49/month ($490/year with a 20% annual discount — save $98).

Billing is per workspace. Each workspace includes unlimited staff access and full feature access.

You may change your billing cycle at any time. Annual subscribers save $98/year compared to monthly billing.

Clients and submissions are unlimited — you never pay extra per client.

IRS Circular 230 requires tax preparer records be retained for a minimum of 7 years from filing. Intaxion retains all submission records for this period.

Upon termination of your subscription or at your written request, you may export your data within 60 days. After 60 days, your workspace and all data are permanently deleted.

If you request deletion within the 7-year retention period, the action will be logged and subject to your preparer authorization. Deletion does not override IRS record retention requirements.

TO THE MAXIMUM EXTENT PERMITTED BY LAW, INTAXION AND ITS OFFICERS, DIRECTORS, EMPLOYEES, AND AGENTS ARE NOT LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES ARISING FROM YOUR USE OF OR INABILITY TO USE THE SERVICE.

Intaxion's total liability for any claim is limited to the fees you paid in the last 12 months of subscription.

Some jurisdictions do not allow limitation of liability, so this limitation may not apply to you.

Intaxion is a software tool for intake and workflow management. Use of Intaxion does not create a professional relationship between Intaxion and your clients. You, as the preparer, are responsible for the tax advice and return preparation you provide.

Intaxion provides no tax advice. All features — including AI-powered document summaries and form auto-population — are tools to assist your review, not to replace your professional judgment.

You may terminate your subscription at any time. Cancellation takes effect at the end of your current billing period.

Upon termination, your workspace remains readable for 60 days. During this window, you may export all your data. After 60 days, your workspace and all associated data are permanently deleted.

Intaxion may suspend or terminate your account if you violate these Terms, fail to pay, or engage in illegal activity.

These Terms are governed by the laws of the state where Intaxion operates, without regard to conflict of law principles.

If you have a dispute with Intaxion, you agree to attempt to resolve it through good-faith negotiation. If negotiation fails, either party may pursue binding arbitration or court proceedings as permitted by law.

Intaxion may modify these Terms at any time. We will notify you of material changes by email or through your workspace. Your continued use of the Service after changes constitutes acceptance of the new Terms.
